Advertising

General Statement

Housing & Residential Life recognizes that our residence halls and our students are prime targets for marketing events, products, and services directed to college students. Each year, hundreds of student groups, university partners, outside vendors, and service providers request permission to have access to our residence hall students through channels such as posting materials in our residence halls, emailing residents, and/or posting on our social media.

This policy was created to ensure decisions pertaining to approvals for access to our Housing students are fair, comply with University and legal requirements, and do not overwhelm the true nature of our business - to create a home for our students.

Process

Our process differs for UA affiliates (UA departments and colleges, university-recognized clubs, University Religious Council members) and non-UA entities.

UA Affiliates

In striving to be a good campus partner, we try to accommodate requests from groups, organizations and departments affiliated with the UA. We offer free access to our students in four ways:

  • In-hall posters
  • Social media posts
  • Email
  • Research

In-Hall Posters

Posters can be posted in each hall’s building lobby designated poster area (location differs by hall).

  • Posters may be one of two sizes – 8.5” x 11” or 11” x 17”
    • Any other sizes or distribution options will require special consideration
  • Maximum of four posters per hall (23 halls + one graduate apartment complex)
  • NEW! Please note we are no longer allowing posters on the wings/floors in order to create a less-cluttered home environment for our students

Requirements

  • Must be approved by the Housing-Residential Education unit
  • UA Affiliate should provide the appropriate number of copies
  • Abides by the guidelines outlined below
  • No limit on number of times per semester

Process

  • Submit the posting for approval at least 3 weeks prior to the date you want the item posted
  • Complete the Affiliate Advertisement Approval Form
    • Submission should include final art work
  • Submit to Chris Caskenette for approval caskenettec@email.arizona.edu or in person to Housing & Residential Life, 501 N. Highland Ave. (6th and Highland), 1st floor
  • If there are any questions on the approval, work with Housing & Residential Life Marketing at res-marketing@distribution.arizona.edu to review request
  • UA Affiliate will be emailed or called with approval or reason for non-approval within 5 business days
  • Final copies should be delivered pre-sorted, separated with a paper-clip or rubber band, and labeled by hall and delivered to Residential Education on the first floor of El Portal at least 10 business days prior to the requested posting date
  • Residence Education team will be responsible for putting up and removing posters
  • Postings will be displayed for up to one month or until the day after an advertised event/activity

Guidelines

What content can be advertised?

  • Positive/beneficial campus events
  • Philanthropic or education-based programs or announcements
  • Charitable events (with a UA sponsor or dept. only)
  • Greek Life* (Fraternity information sessions and Sorority Rush information only)

What content CAN'T be advertised?

  • Any promotion of alcohol consumption
  • Any illegal activity, violation of the University of Arizona Student Code of Conduct, and/or Housing & Residential Life Policies
  • Lewd, pornographic, or offensive material
  • Activities that specifically exclude individuals from participating based on race, sex, gender identity, religion, sexual orientation, age, or ethnicity
  • Employment, reward or volunteer opportunities
  • Any advertisement for profit (requiring money or entry fees)

*Unless previously approved by the Associate Director of Residential Education 


Disclaimers

  • Approval/Rejection guidelines are at the discretion of the Housing & Residential Life Office
  • Unauthorized postings may warrant a future ban
  • Advertisement items MAY NOT be delivered directly to the residence halls
  • Housing & Residential Life staff are not responsible for maintaining postings that have been vandalized, torn down, or otherwise altered or destroyed
  • Repeat advertisements must be resubmitted for approval
Social Media

Housing manages a number of different social media platforms to reach our students and their families. If you have an event or information, you would like us to share, please submit it for approval. We limit the quantity of posts to adhere to general best practices and as a result, we may be selective.


Administration

Housing Marketing only manages the main Housing accounts (not the individual hall accounts)

We do not publicize this option, but offer to our campus partners when we work with them.

You will receive an email with approval or reason for rejection.

Email

Housing distributes a e-newsletter several times each semester – one to our residents and one to their parents. We are very selective and limited on individual emails we sent out to students so as not to inundate them.

We do not publicize this option, but offer to our campus partners when we work with them.

In-hall Digital TV Screens

The digital TVs that are mounted in high-traffic areas in each residence hall are for Housing-use only. There may be exceptions for items that promote large-scale campus events, safety issues, or promotions that benefit our students. Housing Marketing manages the TV content.
